The Grocery Substitution Problem
In high-speed grocery environments, what's on the shelf changes fast. When a picker finds an item is missing, they need to record the outcome (Out of Stock vs. Substituted) and the reason behind it. Without a dedicated way to track this in WooCommerce, these choices were lost or buried in general comments, causing problems for both support and accounting teams.

Technical Solution: Better Data Control
We moved away from general text fields and built a dedicated data layer within WooCommerce. This allows fulfillment notes to be saved as structured records that are easy to report on and won't be lost during site updates.
Fast Admin Integration
The solution adds a custom status panel directly to the WooCommerce order screen. Warehouse teams can toggle stock status and type notes right where they work. A central "Update Fulfillment" button saves the whole order state instantly without a page reload, keeping the warehouse moving at top speed.
